Employee Extension/Box List

  • A helpful tool to look-up employee extensions and campus box #s.
  • The list can be found on the George Fox University website under Directories at the bottom of the main page or at this link.
  • The list is updated often, so check back regularly for the most up-to-date edition.

Dialing Instructions

Dialing an Extension
  • To call another extension or on campus fax, dial the four digit extension.
Dialing an External Number
  • Dial ‘8’ to get an outside line and then the 10 - digit phone number.

Faxing an External Number - Still in conversion process
  • Dial ‘9’ to get an outside line and then the 10 - digit phone number.  Soon it will change to ‘8’ and LD codes will not be needed.  If LD code is needed and you don’t remember, use 1 6 125035 9 1 area code and number.

Dialing Long Distance
  • All long distance calls can be dialed directly and do not need an authorization code. Dial 8 - 1 - and the 10 - digit phone number. Please use the long distance calling feature for university business only.
  • International calls
    • IT will need to enable your phone to make International calls. Please email servicedesk@georgefox.edu to request this service.
    • Once your phone is setup to make International calls, dial 8 - 011 - country code - phone number.  You will be prompted for a code when you are done dialing.

Voicemail Instructions

Accessing your Voicemail
  • 3905 - In the center of the navigation bar, press the feature button (round button). Scroll down to #2, “Voice Mail Access” or press the 2 on your keypad.
  • 7800/8800 - Press Message  to start the voicemail login process.
  • All models - You can dial in from another phone, if desired.
    • On campus: dial 3595. Press star to start the voicemail login process.
    • Off campus: dial 503-554-3595. Press star  to start the voicemail login process.

Initial Setup
  • All models - Initial PIN (password) is 1234. Follow steps for first-time setup.

Listening to your Messages
  • All models - once you are in the voicemail system, your new messages will begin to play. Use these commands to operate the system
    • Press 1-Repeat Message
    • Press 2-Save Message
    • Press 3-Delete
    • Press 4-Reply
    • Press 5-Forward
    • Press 6-Mark New
    • Press 7-Skip Back
    • Press 8-Pause Message
    • Press 9-Message Properties
    • Press *-Cancel playing messages
    • Press 0-Help

   

Messages sent to Email Inbox
  • Voicemail messages are delivered to your email inbox with “Voice Message” in the subject line.
  • Messages are in an mp3 attachment.  You can listen to the recorded message by clicking on the attachment. Visual voicemail is not available.
  • The messages are delivered in a folder labeled ►UC◄.  Please do not modify or delete this folder.

Recording/Changing your Greeting
  • All models - once you are in the voicemail system:
    • Press 4 - Setup options
    • Press 1  -Change your greeting
    • Press 1 - Re-record your greeting

Recording an Internal Greeting

The internal greeting will play for callers who are calling from a campus phone that has a voicemail set up.

    Press 4 - Setup options

    Press 1 - Change your greeting

    Press 3 - Edit other greetings

    Press 5 - Internal greeting

    Press 1 - Re-record your greeting

    Press 3 - Turn on/off your internal greeting

    Press # - To leave it on indefinitely

Recording a Temporary Greeting
  • Use this feature to temporarily change your voicemail greeting i.e. out of office, holiday, schedule change etc.
  • All models - once you are in the voicemail system:
    • Press 4 - Setup options
    • Press 1 - Change your greeting
    • Press 2 - Turn on alternate greeting
      • Press 1 -Set an end date
      • Press # - Leave on indefinitely
    • Press 1 - Record your greeting
    • Press 2 - Turn off alternate greeting
    • The voicemail setup prompt will tell you which greeting is currently on; standard or alternate

Changing your PIN (Password)
    • Press 4 - Setup options
    • Press 3 - Preferences
    • Press 1 - Change PIN
    • Enter 4 digit pin then #
    • Repeat

Operating your Phone

Answering an Additional Line on your Phone (7800 and 8800 models only)
  • If you have additional extension on your phone, you can answer it by picking up the handset and pressing the flashing amber line button associated with that extension.

Making a Call using Speakerphone
  • 3905 - without lifting the handset, enter a number, then press Speaker
  • 7800/8800 - without lifting the handset, enter a number, then press the “Call” button located just below the display.

Answering a Call using Speakerphone
  • 3905 
    • Without lifting the handset, press Speaker              
  • 7800/8800
    • Main extension - Without lifting the handset, press the “Answer” button located below the display window
    • Additional extension -  Without lifting the handset, press the flashing amber line button

Placing a Call on Hold
  • 3905, 7800 and 8800 - during a call, press Hold           
  • To resume the call:
    • 3905 - press Hold again
    • 7800/8800 - press Hold again, or Resume, located below the display window

Viewing your recent calls 
  • 3905 - Press Settings     then press center button of Navigation Bar   or press 1 for Call History, press the up and down arrows on the Navigation Bar to the type of calls you would like to view and press the center button again to select.
    • Press the center button to call the viewed call.
    • Press the Back button to return to the previous screen
  • 7800/8800 - Without lifting the handset, press Recents, then use Navigation to scroll down to the appropriate line. Press the center of Navigation to select the line. Scroll down to the appropriate call. Press Call to call over speakerphone or pick up the handset and the phone will automatically dial the number selected.

Transferring a Call 
  • From a call that is not on hold, press Transfer
  • Enter the transfer recipient’s extension (4 digit)  

       -- OR --

  • Enter a phone number (dial 8 to get an outside line and the 10-digit number)
  • Press Transfer again

Transferring a Call Directly to Voicemail
  • Transfer  -     -  4-digit extension  -  Transfer 

Redialing a Number
  • 3905 - Press the redial button
  • 7800/8800 - Redial shows on the display. Press the corresponding button.

Call Forwarding
  • 3905 
    • Press the Feature button in the center of the Navigation Bar
    • Select Call Forward All by pressing the Feature button again
    • Listen for the confirmation tone, then enter the extension or phone number to forward calls - use regular dialing rules to forward off campus or to your cell phone
    • To forward to voicemail, press Forward All then enter 3595
    • To cancel call forwarding, repeat the first two steps.
    • When you lift the handset, you will hear a confirmation tone until you cancel call forwarding.
  • 7800 - Primary line only
    • Select a line and press Fwd All or Forward All
    • Listen for the confirmation tone, then enter the extension or phone number to forward calls - use regular dialing rules to forward off campus or to your cell phone
    • To forward to voicemail, press Forward All then the Voicemail button
    • To cancel call forwarding, press Fwd Off or Forward Off
  • 8800
    • Select a line and press Fwd All or Forward All
    • Listen for the confirmation tone, then enter the extension or phone number to forward calls - use regular dialing rules to forward off campus or to your cell phone
    • To forward to voicemail, press Forward All then the Voicemail button
    • To cancel call forwarding, press Fwd Off or Forward Off
   Conference Calling  
  • 3905 - 3 parties only
    • From a connected call (not on hold), press and release the hook-switch (handset button) to get a dial tone.
    • Enter the phone number of the party to add to the conference.
    • Press and release the hook-switch (handset button) again (before or after the recipient answers).
    • The conference begins.
    • Repeat as desired for a 3 way call
  • 7800/8800 - 6 parties only
    •  From a connected call (not on hold), press conference
    • Enter the phone number of the party to add to the conference.
    • Press conference again (before or after the recipient answers).
    • The conference begins.
    • Repeat as desired for a 6 way call

Volume Adjustment   

  • Volume adjustment is contextual based on what you are doing
  • Adjust the ringer when the phone is not in use
  • Adjust the handset volume while listening to the handset
  • Adjust the speaker volume while in speaker mode
  • Changing the Ringtone 7800/8800 only - press Settings and select option 2.  Find the ringtone option and adjust.
