G Suite: E-Mail Setup for Apple Mail and iCal

For Apple (Mac) Users:

While you can use Gmail and Calendar in third-party clients, IT recommends that you use them in the native web environment for the full set of features.  We understand there is sometimes a need to download emails to keep an offline copy available, especially when transferring emails from one employee to another.

Apple mail on a Mac is recommended to download email.  Also recommended when backing up your email or when leaving the University to save emails. 

Enable Imap in Google Mail

In the Google e-mail web version, you’ll first need to enable IMAP by following these steps: 

  1. In your browser, go to mail.georgefox.edu, and log in to your George Fox Google mail account.  Please contact the Service Desk at 503-554-2569 if you need to have your password reset.  
  2. In the upper right hand corner of the screen, click on Settings. (Could also be a gear icon)

  1. In the Settings menu, click on Forwarding and POP/IMAP.

  2. At the bottom of the menu, select Enable IMAP, and then click on Save Changes

Open Apple Mail, and follow these steps:

  1. In Apple Mail, click Mail > Preferences… If this is the first time using Apple Mail it will automatically open in the new account window
  2. On the Accounts tab, click the + button to add a new account.  Choose Add Other Mail Account…..and click Continue

  1. Fill in the new window with the following information, and click Next when done:
  • Full Name: [your name]
  • E-mail Address: your full e-mail address [username@georgefox.edu]
  • Password: your GFU password
  • If applicable, please deselect the box next to Automatically set up account. (older versions)

You may see this message after you enter your name and password:

Click Next

  1. Fill in the following Incoming Mail Server information, and click Next when done
  • Incoming Mail Server: Change this to imap.gmail.com
  • User Name: your full e-mail address [username@georgefox.edu]
  • Password: your GFU password

  1. Enter the following Outgoing Mail Server information, and click Continue when done:
  • Outgoing Mail Server: smtp.gmail.com
  • User Name: your full e-mail address [username@georgefox.edu]
  • Password: your GFU password

  1. Review your entries, and click Create.

Once you account is confirmed you will see this window where you can choose what apps to use.

You can change this at any time by going to the Mail menu and choosing Accounts

Older Versions

  1. On connecting, a window may pop up asking you to verify the certificate. Click on Show Certificate.

  2. Check the box to Always trust "imap.gmail.com" when connecting to "imap.gmail.com." 
  3. Then click Connect.

NOTE: It may take several hours or overnight for all your emails to download.


Google Calendar supports CalDAV, a protocol for sharing calendar access. With CalDAV, your users can view and edit calendar events from Apple iCal clients. For more information, see Sync with iCal. (Please note that CalDav is considered an experimental feature with limited technical assistance available.)


Use CardDAV to sync your Google Contacts with your Mac. Note: We support CardDAV on Mac OS X 10.7 and above.

  1. On your Mac, go to Applications > Contacts.
  2. In the Contacts application, go to Contacts > Preferences > Accounts > +
  3. In the window that pops up, enter the following:

Account type: CardDAV

Username: your full e-mail address [username@georgefox.edu]

Password: <Your George Fox password>

Server address: google.com

You contacts will now start syncing from your Google account with your Mac. Any new contacts you make on your Mac will sync with your Google account, and any new contacts in your Google account will sync with your Mac.
